Data protection information for applicants (m/f/d) pursuant to Art. 13 and 14 GDPR

We are pleased about your interest in the positions we have advertised. 

The protection and confidential handling of your personal data enjoy a high priority for us, as well as for the MHM HR GmbH and the forcont business technology GmbH acting on our behalf, during the application process and during employment.

In the following we explain which data we collect during the application process and the possible subsequent storage in our digital personnel file and how it is further processed. Additionally, this compilation contains further data protection information regarding the so-called data subject rights pursuant to the provisions of the General Data Protection Regulation.

2. Purpose and Legal Basis of Data Processing

Your data is processed exclusively for the purpose of carrying out the application procedure, for inclusion in our applicant pool, and in the event of a successful application for inclusion in our digital personnel file. The legal basis is Art. 6 para. 1 lit. b GDPR (pre-contractual measures) as well as Art. 6 para. 1 lit. c GDPR (fulfillment of a legal obligation) and, if applicable, Art. 9 para. 2 lit. b GDPR (special categories of personal data, e.g. severe disability).

3. Categories of Data Processed

When you submit your application documents, the following data, which is required for the application process and possibly later inclusion in the personnel file, is electronically collected and stored pursuant to Art. 6 para. 1 lit. b, c GDPR:

In the application procedure

  • Master Data (name, address, photo, date of birth)
  • Contact information (telephone, e-mail)
  • Education and professional data (CV, certificates, qualifications)
  • Application documents (cover letter, documents)
  • If applicable, information about severe disability

When included in the personnel file

  • Master Data (name, address, photo, date of birth)
  • Contact information (telephone, e-mail)
  • Contract and remuneration data (employment contract, tax identification
  • Legally required proofs (insurance data) Education and professional data (CV, certificates, qualifications)
  • Application documents (cover letter, documents)
  • Time / absence data (working time model)
  • Organizational assignments (department, function)
  • If applicable, health data

Special categories (Art. 9 GDPR), e.g. health data, are processed only if legally permissible or with consent (e.g. severe disability status to consider special rights).

4. Recipients of Data

For carrying out the application procedure, we use the digital applicant management system of:

Both MHM HR GmbH and forcont business technology GmbH act as processors according to Art. 28 GDPR. An appropriate contract on data processing has been concluded. The data processing takes place exclusively within Germany.

5. Storage and Applicant Pool

In the application management system

Your data is generally deleted 6 months after completion of the application process. If you agree to inclusion in our applicant pool, we store your data for a maximum of 12 months for consideration in future job placements. You can revoke your consent at any time.

In the digital personnel file

Your data will be stored for the duration of the employment. The subsequent statutory retention period depends on the type of documents.

  • Contract, remuneration, and personnel data as well as training records are generally retained for 30 years.
  • Time / absence data and health data are generally retained for 5 years.
  • Data on other allowances as well as documents of persons who completed their training at Leibniz-IPB are generally retained for 10 years.

6. Your Rights

You have at any time the right to:

  • Information about your stored data (Art. 15 GDPR)
  • Correction of incorrect data (Art. 16 GDPR)
  • Erasure of your data (Art. 17 GDPR)
  • Restriction of processing (Art. 18 GDPR)
  • Data portability (Art. 20 GDPR)
  • Objection to processing (Art. 21 GDPR)
  • Withdrawal of your consent (Art. 7 para. 3 GDPR)

You also have the right to lodge a complaint with the competent data protection supervisory authority.

7. No automated decision-making

There is no automated decision-making or profiling in accordance with Art. 22 GDPR.
